Welcome to the privacy policy of BrightBooths. We are committed to protecting the personal information and privacy of our clients and their guests. This document outlines our practices regarding the collection, use, disclosure, and protection of information when you interact with our website or utilize our photo booth services for corporate activations and private parties. By engaging with BrightBooths, you acknowledge and accept the practices described in this policy.
1. Information We Collect
We collect information to provide and improve our services. The types of personal information we gather depend on your interaction with us and the nature of the event.
When you use our website or services, we may collect contact information, including your name, email address, phone number, and mailing address. For event planning, we gather event details such as the event date, location, venue name, type of event (corporate or private), duration, and guest count. We also collect the contact information of onsite coordinators or designated event contacts.
During the execution of our services, we collect photo booth usage data, which includes the photos, videos, GIFs, and other media captured at the event. For corporate activations, this may also include data collected through custom lead generation forms or surveys integrated into the photo booth experience, as requested by the corporate client.
When you make a payment, the transaction is processed through secure third-party payment processors. BrightBooths does not directly collect or store your full credit card information.
2. How We Collect Information
We obtain information through various channels. Direct submission occurs when you contact us through our website forms, request a quote, communicate via email or phone, or sign our service agreements and model release forms.
During the event, information is collected through the active use of our photo booth services. Guests voluntarily engage with the photo booth, resulting in the capture of images and, in some corporate settings, the submission of contact details via the booth’s interface.
We also collect information automatically through our website using cookies and similar tracking technologies to analyze site traffic and improve user experience.
3. How We Use Your Information
The information we collect is utilized for specific business purposes to ensure the successful delivery of our services.
We use your contact and event details to process bookings, manage logistics, set up the photo booth, and operate the equipment during the event. This information is also crucial for communicating with you regarding your booking, providing customer support, and delivering the final event media.
With your explicit consent, we may use event media for promotional purposes. This includes showcasing our work on our website galleries, social media platforms, and marketing materials. For corporate activations, we may use the media to highlight brand partnerships and successful events.
If you have opted in, we may use your contact information to send you newsletters, promotional offers, or updates about our services. You retain the right to opt out of these communications at any time.
4. Media and Content Consent
We respect the privacy of individuals captured in our event media. The use of photos and videos for promotional purposes is strictly governed by client consent.
Corporate Activations
For corporate events, the use of media is typically outlined in the service agreement. Corporate clients often use the media for their own marketing and brand awareness. BrightBooths will only use corporate event media for our promotional purposes if permitted by the corporate client. If the photo booth is used for lead generation, the data collected belongs to the corporate client, and BrightBooths acts solely as the data processor.
Private Parties
For private events such as weddings, birthdays, and private celebrations, media will only be used for BrightBooths’ promotional purposes if the client has signed a Model Release Form or explicitly granted permission in the service contract.
Minors and Opt-Outs
We take special care regarding the images of minors. Photos or videos prominently featuring individuals under the age of 18 will never be used for public promotional purposes without the written consent of a parent or guardian. Furthermore, any client or guest has the right to opt out of having their media used publicly. All event media is shared privately with the client via secure, password-protected online galleries.
5. Information Sharing and Disclosure
BrightBooths does not sell, rent, or trade your personal information to third parties. We only share information under specific circumstances necessary for our business operations.
We engage trusted third-party service providers to assist us in delivering our services. These may include website hosting platforms, booking and CRM software, payment processors, and secure cloud storage providers for media delivery. These providers are authorized to access and use your information only as necessary to perform their designated functions and are expected to adhere to strict data protection standards.
We may also disclose your personal information if required by law, regulation, or legal process, or if we believe it is necessary to protect the rights, property, or safety of BrightBooths, our clients, or the public.
6. Data Security and Retention
We implement reasonable administrative, technical, and physical safeguards to protect your personal information and event media from unauthorized access, disclosure, alteration, or destruction. Form submissions are stored securely, and media files are delivered using password-protected links. However, please be aware that no method of transmission over the internet or electronic storage is completely secure.
We retain personal and event data only for as long as necessary to fulfill the purposes outlined in this policy, comply with legal obligations, resolve disputes, and maintain legitimate business records. Media used for promotional purposes, with consent, will remain in use unless a request for removal is made.
Zero-Retention Requests for Specific Activations
We understand that certain corporate activations, high-profile events, or highly sensitive private parties require elevated privacy measures. Clients may request a “Zero-Retention” or “No-Storage” policy for their specific event prior to the activation date. Under this arrangement, BrightBooths will configure the photo booth software to immediately delete all captured media, contact information, and usage data immediately after it is processed (e.g., printed or instantly delivered to the user via SMS/email). No data or media will be stored on our local devices, cloud servers, or third-party platforms once the event concludes. To initiate a Zero-Retention request, please coordinate with our team during the booking process so we can ensure the proper technical configurations are in place.
7. Your Rights and Choices
You have specific rights regarding your personal information. You may request access to the personal data we hold about you and ask for corrections to any inaccurate information. You also have the right to request the deletion of your personal information, subject to certain legal exceptions.
If you have previously granted consent for media usage, you may withdraw that consent at any time. To exercise any of these rights, or to opt out of marketing communications, please contact us using the information provided below.
8. Children’s Privacy
Our website and services are generally suitable for all ages, but we do not knowingly collect personal information directly from children under the age of 13 without parental consent. If we become aware that we have inadvertently collected such information, we will take immediate steps to delete it. Parents or guardians who believe we may have collected information from a child under 13 should contact us promptly.
9. Cookies and Tracking Technologies
Our website uses cookies and similar tracking technologies to enhance your browsing experience and gather analytical data about site traffic. This helps us understand how visitors interact with our site and allows us to improve its functionality. You can manage your cookie preferences through your web browser settings. Please note that we currently do not respond to “Do Not Track” signals from web browsers.
10. Policy Updates
BrightBooths reserves the right to update or modify this Privacy Policy at any time to reflect changes in our practices, technology, or legal requirements. Any revisions will be posted on this page with an updated effective date. We encourage you to review this policy periodically.
